Duties and Responsibilities
Reporting to the Manager, you will: 

  • Provide full administrative and secretarial support in ensuring the smooth running of the legal  department
  • Manage a complex calendar for the Head of Legal (Growth Markets & ASEAN Pacific) and all the legal counsels in the team
  • Arrange internal/external meetings and video/telephone conference across multiple time zones
  • Coordinate all aspects of travel including preparation of travel itinerary, booking of flights and  accommodation and submission of visa application
  • Ensure all expense claims are in accordance with cost management policies
  • Setting up of knowledge database with templates provided by legal counsels, and serve as One Point of  Contact/Source for all Lighting legal templates, resources, policies and registers
  • Assist the legal counsels by providing administrative support to drive Due Diligence & Legal Compliance trainings in the ASEAN Pacific countries in conjunction with the program deployed by the Compliance Group in headquarters in Netherlands
  • Arrange the execution process of legal contracts and documents from the signing of contracts to courier of such contracts to various counterparts in Asia
  • Assist in the maintenance of the various database/registers for Growth Market countries corporate information: legal entities, directors/shareholder’s information, project registers, and key-personnel register.
  • At least 3-5 years of experience as legal admin
  • Strong communication skills
  • IT Savvy
  • Able to work with senior level executives
  • Candidate with legal background preferred
