Job Description

Our client is a global co in the FI sector. It is now looking to hire an officer/ senior office for a 1 yr contract role e within its shared service- employee life cycle team. Key areas:

Main Responsibilities
  • Assists in reviewing HR policies/ guidelines/offer letter templates in relation to employee life cycle policies and processes (including but not limited to New Hire, Transfer, Local Secondment, Termination & Milestone changes) 
  • Assists in coming up with views to harmonise operational procedures, SOPs and workflows for operational efficiency and effectiveness 
  • Performs end to end onboarding processes 
  • Permanent headcount 
  • Interns /contractors 
  • Offer letter, Background/Reference checks, introduction letters, follow up on docs and other depts (IT, Admin, Secretary) on onboarding matters 
  • Conducts first day induction for all SG new hires 
  • Prepare certification letters (visa, APEC card letters, employment verification letters, indemnity letters, verification of home addresses) 
  • Handles new/renewal of EP/DP/TEP of staff 
  • Conducts Reference checks. Follow up, verify on results provided, and flag discrepancies to respective Recruiter/Business Partner 
  • Updates org charts in system on a monthly basis 
  • Creates and maintains staffs personal file. Filing all staffs related materials e.g. supporting documentation such as passport, educational certificates, personal data form, compensation letters 
  • Verifies employment for ex-staff 
  • Prepares welcome message with brief introduction on new hires including secondment/assignment to be validated by Business partners and send for publishing upon completion 
  • Tracks and maintains new joiners pack 
  • Processes Staff probation confirmation 
  • Submits invoices to Finance department, cost centre tagging including getting approvals 
  • Performs all off boarding activities including invitation to join Alumni 
  • To perform ad hoc reporting possibly Headcount/Attrition Reporting; Employee Profiling, Staff Cards. 

Qualifications/ Capabilities
  • Diploma qualification with at least 5 years of experience or 2 years of experience for Degree holders 
  • Some hands-on exposure to the HR employee life cycle is required 
  • Added exposure to shared service ELC exposure is good but not a must 
  • Exposure to a faster paced environment 
  • Thrives in a HR shared service role 
  • Meticulous, Organized and detailed 
  • Takes initiative to recommend improved processes 
  • Resilient 
  • Team player with strong communication skills. 
  • Can commit to a 1 yr contract (there will be a 2 month bonus for good performers completing the assignment)
