Job Description
  • At least 5 years of experience providing full secretarial support to management level and a team 
  • Advanced MS Office including Word, MS Outlook, Excel, PowerPoint 
  • Has MNC experience and worked in faster paced and fluid environment 


Our client is a top notch financial institution. It now requires an admin person to join on a 12 mth contract role. There will be a 2 mth month performance bonus at the end of the 12 mth contract for a good performer. For a strong performer, the person may be considered for an extension or a perm role (but this is not guaranteed).

For this role, you will be supporting the Technology team on administrative matters. You must be poised for change and must be willing to complete tasks assigned by any member of the team. They are also willing to pitch in and help out as and when necessary.

Key Responsibilities:
  • Providing the team support on administrative matters to the Technology department. 
  • Scheduling a variety of meetings, conference calls, video conferences both internally and externally 
  • Arranging international travel (flights, hotels, cars etc.) 
  • Assisting in preparation and printing of presentations & proposals 
  • Completing corporate card expenses and out of pocket business expenses 
  • Ordering stationery and office supplies 
  • Archiving, filing, scanning and printing documents 
  • Preparation and set up of refreshments for major meetings 
  • General ad-hoc office duties that being assigned e.g organising team building events, etc 


Experience:
  • At least 5 years of experience providing full secretarial support to management level and a team 
  • Advanced MS Office including Word, MS Outlook, Excel, PowerPoint 
  • Educated to A level standard/Poly grad with experience 


Competencies:
  • Proven team player with a proactive style, takes initiative and has ability to work without supervision 
  • Good communication skills at all levels 
  • Good written and spoken English 
  • Ability to handle multiple tasks and competing priorities often with tight deadlines and be prepared to put in overtime to complete tasks. 
  • Good attention to detail 
  • Willingness to help; initiative 
  • Be open to carry electronic device for emails e.g. iPhone to remain contactable during off-office hours 
  • Able to commit to a 12 mth contract (there will also be a 2mth bonus at the end of the 12 mth contract for a good performer)
