Job Description
Our client is a leading company in the heavy industries market based in the West. They are looking for an office manager:- Responsibilities: Office Administration Review and negotiate all office, factory and service/equipment contracts/agreements. Responsible for general upkeep and maintenance of office, factory, pantries, washrooms, meeting rooms, document room, etc (ie. pest control, general waste & scrap metal disposals). Liaise with contractors for general office and building management for building defects, maintenance of premises and request of services, office renovations, phone lines connection, etc. Attend to factory inspection by government agencies Manage general administrative related matters such as setup new staff workstation, office layout updated, company transport, backup for reception, etc. Improve office condition (ie. housekeeping, renovation, rearrangement of office layout, etc). Workplace Health and Safety Work closely with relevant parties to ensure compliance of premise safety security, ie. SECOM. Coordinate with the external Safety Officer for monthly safety meeting, housekeeping inspection in the factory, external factory perimeter, etc for workplace safety. Organize health checks for employees. Review and maintain Risk Assessment. Main point of contact for emergency and alarm activation. General Insurance Arrangement for company general insurance for properties, workmen, public liability, medical & personal travel insurance. Public Relations Prepare and update company profile on all company correspondences, ie. website, intranet, brochures, etc. Improve and update company home page on website and intranet. Setup and maintenance of showroom for exhibition. Document and Company Regulation Management Manage company regulations and update it periodically. Handle company confidential information. Tax Incentive Assist to introduce tax incentive and liaise with government to clear their required conditions and report company achievement. Export Control Advise Sales Section on export control regulations and provide support when required. Liaise with Custom Office and be updated on export control regulations. Internal Control Support Management to perform internal audit. Assist Section(s) to make improvements. Documentation Arrange with Company Secretary to prepare and report necessary documents (ie. invitation and writing minutes of board meeting, etc). HR Support Support all HR administrative matters, including but not limited to work pass application/renewal/cancellation, preparing of letters, arranging interviews, conduct all type of surveys, ensure employees’ submission of forms, registering of training courses, etc. Update employee’s records. Payroll processing and submission to related government bodies. Ensure personnel files are updated and documents filed accordingly. Organize company events and activities. Other tasks as assigned. Requirements: Diploma in Building Services and Facilities Management preferred. At least 3 years relevant facilities management and office administrative experience. Familiar with statutory requirements on building, safety and security. Standby 24 hours for emergency/alarm activation and on weekend for maintenance work if required. High integrity and able to handle confidential information. Ability to handle multiple tasks. Good initiative and organized. Position and salary will commensurate with work experience.
