Job Description
Specific tasks will include, but are by no means limited to the following:


· Answer and filter incoming phone calls before directing them to the right consultant

· Provide general administrative and clerical support including mailing, scanning and maintaining electronic and hard copy filing system

· Occasional travel management and organisation for staff

· Prepare quarterly Referral report to be submitted to MOM online

· Any other secretarial support at the Manager’s request

· Update office directory


· Liaise with suppliers as required for IT, telecommunications services, etc

· Liaise with building facilities management for any office repairs needed and monthly aircon maintenance

· Carry out errands as requested such as going to the post office and bank, arranging of local and overseas couriers and sending of equipment for repairs such as computers, printers, etc

· Ordering of stationery and office supplies and replenishing of pantry

· Place order for printing of name cards, letterheads, etc

· Organize company meetings and events occasionally

· Check the Consultants’ diaries and act as a reminder for certain events like movie nights, etc


· Check staff expense claims against receipts and process accordingly

· Upload payable invoices onto the accounting system and generate a weekly payment report

· Prepare and submit Quarterly GST report to Finance team in UK

· Prepare and consolidate weekly Debtors’Report


· Formatting CVs and other documents when required

· Check and ensure that Consultants have posted job adverts on job portals

· Assist to do some simple marketing stuff for the office

· Provide support to the Consultants & other personnel in the office

· Simple write up Company and Consultants’ Profile, to be printed on brochures, either on hardcopies or softcopies.

The Office Assistant will have the following qualifications, skills, and attributes: 


· Excellent English communication skills, both verbal and written

· Excellent knowledge and skills in Microsoft Office

· Ability to think on their feet and anticipate potential future problems and be able to suggest solutions to the manager

· Ability to organise and prioritise a varied workload

· Excellent analytical and problem solving ability

· Good interpersonal skills and good time management skills

· Attention to details and able to take action proactively

· Ability to liaise with people at all levels


· A positive outlook and sense of humour

· Good communicator

· Self-motivated

· Confident

· Professional presence

· Flexible attitude

· Team player


· previous office experience may be requested but this can also be entry level position

· College degree or other formal education above high school level desirable

· Knowledge of other electronic database systems a plus

· IT-related problem solving skills and experience would be desirable
