Office Manager cum EA (West, Up to $5.5K)  

A well-established Logistics/Freight Forwarding Firm. Responsibilities:​​​ Office Management Ensure smooth running of daily office operations by designing office policies, standards and procedures. Implement office systems, layouts, equipment procurement. Maintain paper and electronic filing systems for records and correspondence. Track office supply inventory, approves supply orders and ensure timely delivery of office supplies. Be involved in recruiting, selecting, orienting, training, coaching, disciplining and appraising office staff if necessary. Prepare department budgets and expenses. Administrative Duties Sort, distribute and dispatch all incoming mails, courier & parcels in a timely manner. Ensure accuracy in the administration of monthly invoices, purchase orders and process accordingly. Provide administrative support to other operation logistics hubs. Receive and attend to delivery team upon the goods arrived and ensure all items/stocks are properly kept accordingly. Maintain & update proper listing of company stamp holders, vehicles parking lot within Company's premises. Arrange transportation, meals and other required logistics for town-hall/meetings. Participate in company events and provide full support on festive occasion. Maintain the cleanliness of boardrooms, meeting rooms, etc. Schedule and confirm conferences, business meetings and booking of conference rooms. Compose and distribute reports, presentations, memorandums, proposals and correspondence. Minutes taking and disseminate meeting report to all relevant stakeholders. Handle travel arrangements and hotel reservations. Receptionist Duties Cover Reception duties as and when required. Coordinate with various internal and external stakeholders on incoming calls, parcel or queries. Ensure all beverages are properly refilled daily and are enough. Receive incoming pantry stocks and arrange accordingly. Coordinate the fruit day distributions within various departments/operations. Requirements: Minimum Diploma/LCCI Private Secretary's Diploma or Degree. At least 3 to 5 years of relevant experience in Secretarial/Office Administration. Experience supporting middle to top management is highly preferred. Some leadership or supervisory experience will be advantageous. Ability to adapt to a fast-pace and demanding work environment, ability to work at all levels. Independent and able to work under minimal supervision. ​​Other Information:​ Working Location: Boon Lay. Working Hours: Mondays to Fridays, 9am to 5.45pm.
