Operations Executive cum Document Controller (Tuas, SAP, Up to $3.5K)  

A well-established Marine Firm. Responsibilities: ​​ ​ Lead the Sales Admin team to support the HOD and the sales team while managing the day-to-day activities of the office. Preparing and reviewing Tenders and Quotes prior to submission to Client. Ensuring all technical and commercial specifications are received and filed as needed for each Tender, Quote, Purchase Order, Sales Order, etc. Receiving and logging of Purchase Orders from Customers in a timely manner. Issuing required Purchase Order to Approved Vendors and following up with their respective representatives. Coordinating with other departments, suppliers and customers to arrange deliveries according to customer Purchase Orders and Delivery instruction. Helping with expedited requests for Rush Orders and alter Sales Orders and shipping data as needed. Preparing Delivery Orders and Invoices to Customers. Organizing and maintaining an accessible filing system. Maintaining and filing all related documentation and material certificates for future traceability. Helping with the implementation of B2B, B2C, and e-commerce business strategies. Prepare comprehensive reports and/or summaries regarding sales activities, forecast, performance and management report in a timely manner. Creating regular reports for expenses, office budgets and others. Arrange travel and accommodations for executives, management and after-sales team members as and when required. Provide general administrative assistance to sales team. Ensuring full compliance with the Group principles, QHSE and Ethics code at all times. Support annual internal and external audits. Any other ad-hoc requirements related to the position and its functions. Requirements:​ ​ Diploma or Degree in Business Administration or e-Commerce or equivalent. Must have 2 years’ experience in the similar role. Document Control experience and expertise is required. Experience in SAP is a must. Able to thrive in an extremely fast-paced and dynamic environment and manage tight deadlines. Ability to work independently and as an integral part of the team. Strong coordination, organizational & presentation skills, with attention to detail. Excellent communication skills (both verbal and written). ​​​Other Information:​ Working Location: Gul Road (Transport pick-up are provided to and from Boon Lay and Jurong East MRT).
