Team Secretary role (6 mth contract) with Investment firm

•Prefer candidates with experience in fast paced MNC environment e.g. banking/ FI, FMCG etc.

•At least 5 years of experience providing full secretarial support to management level and a team

•Advanced Excel and PowerPoint

Our client is a renowned and global investment firm. This is a 1 year contract (renewable) role. The co offers 1 mth completion bonus at the end of 6 mths for a good performer. For this role, key functions as follows:

You will support a team of our business executives on administrative matters. You have the key responsibility of assisting the team through regular communication and interface with internal and external parties, including business contacts, vendors, partners, affiliates, and other professionals globally. You should possess excellent communication (both verbal and written) and interpersonal skills are therefore critical.

Given the need to support the team’s work across dynamic projects, the ability to prioritise and balance multiple tasks, and the ability to work effectively in a global, multi-cultural team environment are also important.

You should also be adaptable to a dynamic work environment, and be willing and proactive in undertaking diverse tasks in support of the team. Given the team-oriented and collaborative environment, the Candidate is expected to help out where appropriate and necessary. This includes covering for colleagues in their absence.

Core Functions/ Responsibilities:

• Support the management team in full spectrum of secretarial/administrative work

• Manage administrative matters – stationery control, banking matters, office administration

• Managing calendar of team members and be responsible for scheduling meetings, conference calls, video conferences both internally and externally

• Coordinate info & logistics for overseas trips – flight booking, cancellation, billings and refunds

• Assisting in preparation and printing of presentations, documents & proposals

• Completing corporate card expenses and out of pocket business expenses claims

• Archiving, filing, scanning and printing documents

• Preparation and set up of refreshments for major meetings

• Documentation of work processes and SOPs

• General ad-hoc duties that being assigned e.g. organising team building events, etc

Qualifications/ Capabilities/ Experience:

• At least 5 years of experience providing full secretarial support to management level and a team

• Advanced MS Office including Word, MS Outlook, Excel, PowerPoint

• Ideally an A level certificate or polytechnic or equivalent diploma holder

• Proven team player with a proactive style, takes initiative and with the ability to work independently

• Excellent communication skills at all levels

• Excellent written and spoken English

• Ability to think analytically

• Self-motivated, organised and meticulous with attention to details

• Diligent and willing to work beyond normal office hours, where required

• Able to commit to a 6 mths contract role
