Job Description

GENERAL PURPOSE OF JOB:
The Accounting Clerk I is primarily responsible for Accounts Payable (A/P), Account Receivable (A/R), Tax Invoices, Purchasing, Staff Over-time, Employees Claim, Financial Reporting, Sales Report functions, receptionist, data entry, and administrative assistant. Will have various levels of interaction with customers, vendors, visitors, and members of management. Depending on the needs of the business unit, the array of assigned tasks and responsibilities may vary widely.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
. Responsible and complete the Accounts Payable and Accounts Receivable functions.
. Follows up on A/P issues as requested by vendors or by management.
. Matches, codes, audits and vouchers accounts payable invoices.
. Reconciles checks with vouchered invoices.
. Audits and inputs expense reports.
. Responsible for expenses claim applications including matching payments to the correct employees, customers, researching and resolving payment issues.
. Responsible for Tax Invoice preparation, mailing and follow up with customers.
. Responsible to compile employees over-time summary to payroll company.
. Responsible and perform procurement function(s) including internal orders, new vendor establishments, PO placement, order tracking, receiving, inventory, and related reporting.
. Composes and types routine correspondence, assembles charts and graphs, creates and maintains spreadsheets, creates presentation materials, and other similar support functions.
. Makes copies or scans of correspondence or other printed matter. Files such material electronically or in hard copy.
. Answers telephone and provides information to callers or routes calls to appropriate official. May have frequent communication with customers and/or vendors, as assigned.
. Performs data entry into various business systems, such as MRP/ERP systems and / or quality management systems.
. Provides administrative support and materials to various departments and functions, which may include human resources, purchasing, customer service and finance.
. Responsible for completing and maintain attendance records and time sheets for all hourly and non-exempt employees.
. Coordinate interactions with Temporary Services to fill production requirements.

ADDITIONAL FUNCTIONS AND RESPONSIBILITIES:
. Assists in other areas or performs other duties as required by fluctuating business needs.
. May conduct and maintain customer satisfaction and supplier performance surveys/ratings
. May fulfill customer service role by interfacing directly with customers on non-technical order fulfillment matters.
. Back up to support shipping with these functions: Preparing export documentation, shipping labels, commercial invoices, and/or shippers export declarations for all international shipping.
. Back up to prepare air bills and arrange for shipment of overnight packages.
. May arrange for catered lunches for visitors, employee meetings, or working lunches.
. May greet visitors, ascertain nature of business, and direct visitors to appropriate person
. May order and maintain office supplies, coffee supplies, and other such items.
. May be a liaison for the vending services, cleaning services, or other third party service providers.
. May assist in other areas or perform other duties as required by fluctuating business needs.

EDUCATION, CERTIFICATES, LICENSES, REGISTRATIONS AND/OR EXPERIENCE: Diploma or higher is preferred. With 1+ year of directly related work experience in an accounting function. Intermediate proficiency in MS Excel and MS Word is required. Demonstrated experience entering data into MRP/ERP systems. Demonstrated experience handling customer or vendor interactions effectively and satisfactorily. Demonstrated experience creating spreadsheets, presentation materials, and business communications.

BASIC SKILLS:
. Possesses well-developed communication, excellent organizational and interpersonal skills.
. Must possess excellent data entry skills with attention to details.
. Requires proficiency in Microsoft Excel, Power Point, and Word software, Lotus Notes, ERP/MRP software and other critical computer applications.
