Job Description



Responsibilities
  • Manage and coordination of calendar and schedule calls/ meetings/Smart Rooms in various geographies and time zones.
  • Assisting meeting and technology set-up details
  • Coordination of ad-hoc global administrative-related tasks, departmental support and events (e.g., face-to-face or virtual team meeting support, data management, Global HR events and townhalls including catering (if any)).
  • Transportation management for work travel purpose, adhering to policies and guidelines (secure air, rail, hotel and cars as needed).
  • Assist in travel documents preparation (e.g., passports, visas, letters of entry) as needed and with T&E claims.
  • Triage and process multiple tasks from vendor invoice submission through payment, document archiving (physical and electronic) and retrieval, document creation, etc.
  • Issue deadline reminders and do deadline follow-ups.
  • Resolve routine day-to-day requests from internal clients.
  • Manage a high-volume workload proactively to a consistently high standard, by setting priorities, objectives and target dates.
  • Liaison closely on Global HR functions/meetings and team initiatives. (This may include HR meeting management, data consolidation and other defined projects.)

Requirement
  • Minimum Diploma in relevant field
  • Minimum 3 years of working experience in providing secretary and admin functions
  • Exposure in MNC environment will be an added advantage
