Job Description

Purpose of job:

Familiarisation Trips ( Fams for short) are a key communications initiative and educational programme that allows members of the international media and leisure travel trade to explore Singapore. This involves hosting in-market trade (such as travel agents, MICE intermediaries, cruise operators etc) to experience Singapore’s latest offerings and building partnerships and business opportunities for our Singapore stakeholders, as well as hosting journalists, editors and key opinion leaders across print, digital and television, to generate invaluable worldwide editorial coverage and public relations mileage for the destination.

The Fams Team will be required to support key markets with planning for fam itineraries, and effecting all ground and logistical arrangements in a timely and professional manner, in line with STB's procurement and financial guidelines. The Fams Team will also be involved in administrative work as part of pre-Fam work,such as facilitating safe travel passes and applications for STB's hosted guests. This is part of Singapore's gradual reopening of borders to other countries. The team will also be requiredtoflexibly support STB Divisions in the event ofa reduction in the number ofFams, more pertinently in areas such as COVID-19 related work (e.g. grant applications) and tourism recovery.

Main Responsibilities:

  • Fam Trip Logistics
    • Booking and hiring transport andSingapore licensed tourist guides;
    • Reservations at hotels, F&Bs, attractions and entertainment venues;
    • Organizing camera shoots and filming arrangements, and obtaining permits (e.g. at shopping malls, Changi Airport, etc.);
    • Submitting interview requests (e.g. media interview with representatives of tourism establishments and / or personalities);
    • Notifying industry partners and service providers of the fam, and obtaining all requisite approval, licenses and consent forms, for use of facilities, products and/or services in connection with the fam;
    • Packing care packs, or media and press-kits in accordance to profile of RO’s invitees;
    • Be on standby to facilitate any urgent requests or changes to the itinerary before or during the fam visit;
    • Collate all feedback gathered from fam participants and tour guides after the fam;
    • Other arrangements of a similar nature.
  • Border Reopening Work
    • Paperwork and administration of travel documentation for hosted overseas guests;
    • Coordinate with ROs, and if necessary, STB Line Units, to consolidate overseas invitees for events, business or leisure travel during this pandemic period;
    • Support STB officers in liaising with MTI, MOT and other government agencies on facilitating overseas visitors into Singapore;
    • Maintaining data on the number of overseas visitors by markets coming into Singapore via various travel schemes; and
    • Desktop research on news articles pertaining to travel in and out of new markets helmed by HQ only (e.g. COVID-19 related issues and updates on travel regulations to Singapore);
  • Market/ STB Division Support Work
    • Printing certificates and marketing collaterals for tourism establishments;
    • Processing applications of tourism stakeholders for STB grants or projects, and clarifying with stakeholders on any discrepancies;
    • Manning STB hotlines and mailboxes for queries;
    • Expansion and consolidation of STB databases (e.g. Singapore premium segment offerings and travel trade networking databases);
    • Registration for networking sessions, trade updates, and workshops (both physical or virtual formats);
    • On-ground coordination of event programs;
    • Preparation of event logistics such as the coordination of passes, tickets, info kits, tourist guide briefings, catering etc;
    • Performing audit, compliance and quality assurance checks on tourism stakeholders; and
    • Other projects of a similar nature.
  • Fams Team Lead Role (if applicable based on candidate experience)
    • Supervision of STB database and report updates;
    • Compilation of Fams Team weekly report and invoice payment tracking;
    • Adherence to finance processes and procurement;
    • Make suggestions and execute fam operation process efficiency; and
    • Assistance in general supervision, discipline, administration and HR matters for the Fams Team.

Key relationships:

In charge of executing these Fams, the Fams Team will be working with various internal departments in STB, mainly the Regional Offices (ROs) around the world, STB HQ Divisions such as Trade Engagement and New Markets (TENM), Meetings, Incentives, Conferences and Exhibitions (MICE), Industry Marketing and Cruise, among others. In addition to this, the role is external facing, and the Fams team will have to manage key relationships, particularly with the players in the tourism sector - hotels, attractions, travel agencies, tourist guides, MICE venues and more.

Job Requirements:

  • One to two years of relevant working experience in admin and logistics arrangements, preferably for tours in a travel agency or event company.
  • Possess strong multi-tasking and organizational skills, and the ability to perform in a stressful and demanding environment.
  • Display integrity, exhibit good interpersonal skills and embrace team spirit.
  • Professionalism, communication skills and stakeholder management due to high dealings with the Singapore travel trade.
  • Quick-thinking and problem-solving skills, to flexibly overcomeobstacles in fam tripplanning and execution.
  • Leadership and initiative.
  • Familiarity with tech and data, and minimally with working knowledge of Microsoft Word, Excel and Powerpoint.
  • Fluent in least one language (and if monolingual, the English language).
  • Experience in finance work and government related systems e.g. ACE system. Some procurement experience with the Gebiz site will also be necessary.
  • Comfortable with data crunching and visualization, and proficient in the use of Microsoft Excel to generate Fam reports.
