Broad Function
The Executive Assistant (EA) has an important role in supporting the Head of Department (HOD) and Pharmacists in managing the operation and logistic needs of the pharmacy department. The staff will provide administrative assistance to the HOD in daily office needs and managing the manpower and department's general administrative activities.
Key Responsibilities and Duties
  1. General secretarial duties such as typing of correspondence, memorandums, minutes of meetings, catering, arranging and scheduling meetings, booking of meeting rooms, etc.
  2. Co-ordinate all clerical, typing, mailing of bulletins/ newsletters, including update the department’s intranet web site.
  3. Attend to all administrative and personnel matters in the department which include:
    • Maintaining records on headcounts, recruitment and resignations.
    • On boarding and coordinating orientation for new staff.
    • Scheduling and arranging interviews.
    • Planning of training needs and maintaining training records.
  4. Support the HOD with tracking of department budget and procurement of pharmacy-related minor assets.
  5. Responsible for the sourcing, requisition and/or purchase of all stationery and office equipment and other purchases, including their respective service and maintenance contracts.
  6. Assist withfiling, scanning, photocopying and archiving of documents.
  7. Manage and oversee the maintenance of IT assets including laptops and hard disks in the department.
  8. Co-ordinate and assist in organising departmental functions.
  9. Any other duties or responsibilities as assigned by the HOD.

Job Requirements
  • Min GCE 'O' Level, with minimum 1 to 2 years of working experience in similar capacity.
  • Candidate with relevant working experience in healthcare will be added advantage.
  • Have good communication and interpersonal skills
  • Meticulous and with strong administration, coordination and organization skills
  • Able to multi-task, work independently and be a good team player
  • Possess positive attitude, initiative and keenness to learn
  • Proficient in the use of Microsoft Excel, Powerpoint and Word
