Position Title: Executive Assistant
Dept : Population Health
Employment Type : 2.5 year contract

(A) SPECIFIC (90%) Daily Program Work
  1. Support the program team to ensure that the planned schedule of various activities related to the program will be implemented on time, scope and budget, achieving the related performance objectives.
  2. Undertake and prioritize the day to day tasks for the smooth operations of the program, manages all internal delivery, community partners, third party providers (contractors) service delivery, where necessary. This will include, coordinating the logistics support, facilities and supporting the administrative aspects of the various intervention workshops.
  3. Facilitate and coordinate the delivery of the program in the community and provide logistics and marketing support to encourage outreach, uptakes leading up to a successful roll out of the various workshops and supporting events.
  4. Handle ad-hoc assignments as and when required including secretarial duties for meetings and other administrative duties including claims submission.
  5. Ensure that key data components are captured and collected in a secured and organised manner throughout the program at the appropriate points so that the necessary reporting and subsequent evaluation of the program can be done.
  6. Be a point of contact for our targeted population to coordinate outreach, registration and feedback and ensure that follow up is carried out in a satisfactory manner.
  7. Fosters a strong working relationship between all stakeholders in the program, including partners/providers, the clinical staff, administration and information management staff.
  8. Ensure compliance to standards and processes to preserve patient privacy, confidentiality, and the security of health information.

(B) GENERAL (10%)
  1. Perform any other tasks as assigned by the Supervisor.

  • A team player who is resourceful, hands-on, detail-oriented and able to manage multiple projects simultaneously.
  • Must have positive attitude and excellent interpersonal, communication skills and organizational skills.
  • Must be able to work nights, weekends and in accordance to operational schedules when needed
  • Diploma holder or minimum 3 years’ experience supporting public healthcare programs.
