Job Description

Key responsibilities:

The main responsibility of this position is to provide administrative support to ensure efficient operation of office.

Some examples of job scope are creation of quotes, delivery orders, packing lists and invoices, the answering of emails, phone calls, scheduling of meetings and supports of walk in visitors. Administrative duties such as filing, typing, copying, binding, scanning, laminating is expected. Good knowledge of microsoft excel and powerpoint is required and polite, professional communication via phone, e-mail, and mail is a must.

You will also be expected to assist on the following:

  • reminding your manager of important tasks and deadlines
  • typing, compiling and preparing reports, presentations and correspondence
  • managing databases and filing systems
  • implementing and maintaining procedures/administrative systems
  • liaising with staff, suppliers and clients
  • collating and filing expenses
  • miscellaneous tasks to support your manager

Key skills you need:

  • Discretion and trustworthiness: you will often be party of confidential information
  • Flexibility and adaptability
  • Good oral and written communication skills
  • Organisational skills and the ability to multitask
  • The ability to be proactive and take the initiative
  • Communication skills
  • A knowledge of standard software packages such as microsoft excel, powerpoint and word, and the ability to learn company-specific software.
