Job Description

Role And Responsibilities


Operations
  • Liaise with General Manager, Service Line Manager and Project Managers to effectively plan upcoming projects manpower requirements efficiently – using the designated planning tool (RMS or other software).
  • Liaise with site staff, GM, SLM and PM with project mobs and demobs details.
  • Oversee workpack creation & convert all workpack to electronic copy for filing.
  • Ensure workpack is collected, scanned and filed properly for audit purposes.
  • Organize mobilization / demobilization meetings – to advise technicians on Applus expectations and get inputs from site staff on lessons learned for continuous improvement.
  • Plan and implement initiatives for continuous improvement of the Operations team processes including improvements to RMS.
  • Arrange training and recertification for Applus employees, communicate with HR department on upcoming training.
  • Liaise with HR to organize various vaccinations/health checks for Applus employees; e.g. Yellow Fever, Drug & Alcohol.
  • Update RMS with accurate information on manning and mobilization dates – make suggestions for enhancements to the system.
  • Responsible for monitoring of the company apartments and schedule visitors.
  • Process shipyard induction documentation.
Travel

  • Manage company travel program and personnel travel movements
  • Coordinate with travel suppliers and agents to obtain the best value options available and ensure that quotations given are accurate along with its applicable terms and conditions.
  • Monitor quality of services that suppliers provide and take corrective actions where necessary
  • Utilize online booking platforms and GDS to check for flight schedules and fares.
  • Provide information on available options to the travel requestor for selection and approval prior to issuance of flight tickets and booking of hotels if required.
  • Raise requisitions in the RMS for purchases related to travel.
  • Reconcile all purchased related to travel with finance department for payment
  • Monitors all existing travel bookings to ensure the schedules are according to the updated mobilization plan and avoid no show penalties.
Minimum Requirement:-
  • Singaporean Preferable
  • Diploma preferred, those who match experience requirements may be considered.
  • 2 years travel industry experience.
  • Knowledge of Amadeus or Galileo.
  • Global visa processing experience.
  • Excellent (English) communication skills both verbal and written.
